What we collect
We collect information you provide directly, such as your name, email address, and student profile data when you create an account. This includes homeschool records, activity logs, and notes you enter through the web dashboard, command bar, or messaging integrations.
We also collect usage data automatically, including device information, log data, and cookies, to improve performance and security.
How we use your data
Your data is used to operate and improve KERNLO's services — generating reports, powering AI-assisted insights, and syncing across devices. We do not sell your personal information.
We may share data with service providers who perform functions on our behalf, such as hosting, analytics, and payment processing. All providers are bound by confidentiality agreements.
We retain your data for as long as your account is active. You may request deletion at any time by contacting hello@kernlohq.com.
Text messaging
If you opt in to receive SMS messages from KERNLO, we will use your mobile phone number solely to send you the communications you have requested, such as activity confirmations, alerts, or support replies.
No mobile information will be shared with third parties/ affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You can opt out of SMS communications at any time by replying STOP to any message or contacting hello@kernlohq.com.
Who controls your data
KERNLO is operated by Self-Employed, trading as KERNLO ("we", "us"). Self-Employed is the data controller responsible for personal data processed through the service.
Why we're allowed to process your data
We process personal data on the following bases: contract performance (operating your account and delivering the service), legitimate interests (security, fraud prevention, product improvement), consent (SMS messaging, optional marketing), and legal obligation (tax, accounting, responding to lawful requests).
Who we share data with
We share personal data with: (a) service providers / subprocessors that host the platform, run analytics, deliver email and SMS, and provide AI processing; (b) Paddle.com, our Merchant of Record, which processes payments, manages subscriptions, handles tax compliance, and issues invoices — see Paddle's privacy notice; (c) professional advisers (legal, accounting); and (d) authorities where required by law. We do not sell your personal information.
How long we keep data
We retain personal data for as long as your account is active and as needed to provide the service. After closure we delete or anonymise data within a reasonable period, except where we must retain records to meet legal, tax, or accounting obligations.
What you can ask us to do
Subject to applicable law, you have the right to: access the personal data we hold about you; request rectification of inaccurate data; request deletion ("right to be forgotten"); request restriction of processing; object to processing based on legitimate interests; receive your data in a portable format (data portability); and withdraw consent at any time. To exercise any right, email hello@kernlohq.com. You also have the right to lodge a complaint with your local data protection authority.
How we protect your data
We use appropriate technical and organisational measures to protect personal data, including encryption in transit (TLS), encryption at rest, row-level access controls in our database, scoped API keys, and least-privilege access for personnel. No system is perfectly secure; we'll notify affected users of any material breach as required by law.
